Protecting Data, Reducing Admin, and Supporting Lifelong Dog Care: Border Terrier Welfare
Border Terrier Welfare is a UK-based charity dedicated to the lifelong care and rehoming of Border Terriers. With around 80 dogs rehomed each year and over 900 potential adopters on their list, keeping accurate records and ensuring secure, efficient processes is essential to their work.
Before infoodle, however, their systems were creating unnecessary risk, stress, and admin for volunteers. Now, Border Terrier Welfare has centralised its information, strengthened data security, and built a smoother, more reliable process for supporting dogs and adopters throughout their lives.
The Challenge
Border Terrier Welfare was previously using a combination of Microsoft Sheets and Dropbox to store and manage their data. While it initially worked, the setup quickly became unstable, insecure, and difficult to maintain across multiple users.
Files were frequently corrupted or overwritten, leading to lost information that could not be recovered. Access was inconsistent across devices, causing bottlenecks and unnecessary stress for volunteers trying to manage rehoming cases.
“Dropbox often corrupted files, caused computer issues, and wasn’t accessible to everyone. Data was frequently lost or overwritten, making recovery impossible.”
With sensitive personal information and lifelong dog histories at stake, the charity knew they needed a secure, stable, and centralised system; “Securing data was our biggest problem… That’s the main reason we switched.”
The Solution
Border Terrier Welfare implemented infoodle as their central record system – creating one secure place for every dog’s lifelong history, including previous and current owners, adopters, vets, fosterers, donors, and supporters.
infoodle also connects directly with their website via forms, meaning adoption offers automatically feed into the database, allowing the team to quickly match dogs with the most appropriate homes.
“We keep a lifelong record of each dog and its contacts to ensure accurate information and continuity. Our website now feeds adoption offers directly into the database, helping us match dogs with the most suitable homes.”
The move has removed duplicated work, improved reliability, and allowed the team to work with confidence, knowing the information is up to date and backed up securely.
The Impact
While the rehoming process itself remains intentionally thorough, the experience of managing it has transformed.
Key improvements include:
- Faster access to information
- Reliable, secure records with two-factor authentication
- No more duplicated data entry
- A smoother workflow for volunteers
“Instead of manually typing everything in twice, adopters are often already in the system, so it’s just a quick add to the group and close – simple, secure, and reliable.”
And while the charity doesn’t quantify volunteer time as a financial cost, the time saved is deeply valued.
“Anything that helps save volunteers time is a big benefit. It makes things more efficient, which is good for everyone involved.”
What the Team Loves Most
For Border Terrier Welfare, usability and stability were essential – and infoodle delivered.
“It fits really well on the computer screen, with a layout that feels natural and easy to use. It’s stable and doesn’t crash… everything is consistent, smartly designed, and easy to read.”
Volunteers can work with confidence, knowing the information is safe, accurate, and easy to navigate.
Looking Ahead
Border Terrier Welfare is continuing to build on its use of infoodle, exploring features that will enhance efficiency even further.
When asked if they would recommend infoodle, the answer was clear:
“Absolutely. The service and support we’ve had – from training to setup – has been phenomenal. We wouldn’t be at this stage without it… we’d definitely recommend it.”
