How Dance and Art Therapy NZ Streamlined Their Admin and Found More Time for What Matters

Dance and Arts Therapy NZ is a charitable organisation dedicated to empowering individuals of all ages and abilities through dance and arts therapies. Their work supports people with disabilities, those living with mental illness, and diverse communities – creating space for wellbeing, creativity, and inclusion.

But like many growing nonprofits, they reached a point where their behind-the-scenes systems weren’t keeping up with the heart of their work.

What challenges were you facing before infoodle

“Before infoodle, we were managing client information, event planning, and communications using spreadsheets and manual processes. It was inefficient, time-consuming, and required several staff members to keep things coordinated,” says Chanri from the team. “We were spending more time on admin than on delivering services.”

Without a central system, managing fundraising, client records, and volunteer coordination meant hopping between tools – and often duplicating effort. The lack of integration led to delays and data inconsistency, limiting how effectively the team could support their community.

That’s where infoodle came in.

How are you using infoodle now?

Dance and Arts Therapy NZ now uses infoodle primarily to manage their client CRM and therapist records, including detailed session notes and attendance tracking. The platform also helps them keep on top of event schedules and manage their library of therapy props – a unique but essential part of their programming.

“Several team members use infoodle regularly. We value having key functions integrated into one platform. It streamlines our workflows and keeps us organised.”

And because of this positive experience, they’ve gone on to recommend infoodle to other community-based organisations, especially those looking for something flexible and easy to use.

What kind of difference has infoodle made?

The shift has made a clear difference.

“What used to take days now takes hours. It’s a significant reduction in admin time, which means cost savings too. More importantly, we’ve been able to redirect that time into our programmes.”

Centralising therapist notes and client records has also improved data accuracy and accessibility, making everyday operations smoother and more reliable.

How long have you been using infoodle, and has it kept up with your growth?

After six years of using infoodle, Dance and Arts Therapy NZ continues to find the system responsive to their evolving needs.

“infoodle has adapted well as we’ve grown. We’d absolutely recommend it to other nonprofits looking for an integrated and reliable management system.”

What’s the overall impact been?

Before infoodle, admin took over. Now, it’s under control.

With a system that supports their team – not slows them down – Dance and Arts Therapy NZ can focus more of their time and energy on what really matters: creating spaces of creativity, wellbeing, and inclusion for their community.
